Turnaround Account Payable Assistant
During a Turnaround ('TAR'), this position assists in maintaining the Maximo/Peoplesoft Accounts Payable System to ensure accurate and timely reporting of the TAR project costs and Financial Statement inputs. The positions primary focus is Accounts Payable to ensure timely and accurate payment to suppliers performing work related to the TAR.

Completes transactions such as:
  • Processing and payment of contractor and vendor invoices via purchasing system.
  • Validating all labor invoices agree to ATOM, the timekeeping software that calculates hours worked based on gate logs and timesheets submitted by vendors.
  • Resolve billing discrepancies, including variances from time recorded in ATOM.
  • Payment processing of all TAR related invoices by way of Accounts Payable module within the accounting software system.
  • Responsible for matching and assembling documentation in preparation for payment and maintain documentation after payment is complete.
  • Ensures that TAR invoices being presented for payment are valid in all respects including sales/use tax and other taxation requirements.
  • Verifies that TAR labor invoices being presented for payment are valid in all respects and hours billed agrees to hours worked within our ATOM timekeeping system.
  • Ensures correct authorization based on the Geismar Site's DOA (Delegation of Authority) and evidence of receipt of goods/services rendered before payment.
  • Data entry of TAR invoices and payment details into the accounting software Accounting Payable system.
  • Investigates TAR supplier accounting payable queries and inquiries.
  • Monthly reconciliation of TAR supplier statements to confirm that they agree with client's records.  
  • Follow up on reconciling items in a timely manner in conjunction with the Accounts Payable Specialist, Financial Accountant and/or Financial Accounting Supervisor.
  • Refers price adjustments and queries to Purchasing department.
  • Works with relevant parties throughout the plant and on the Turnaround Team in calculating the month end TAR accounts payable accrual to ensure accurate reporting of liabilities incurred in the proper period within the Financial Statements.
  • Liaises with Purchasing department, TAR Buyer and vendors to obtain correct vendor information for both existing and new vendors
  • Works with the warehouse team to remedy any discrepancies between goods receipts in accounting system and invoiced amounts received from vendors.
