PTS Advance is seeking an HR & Site Operations Coordinator in the Los Angeles area.

Long term contract with potential to do direct.

 

Job Description:

The HR & Site Operations Coordinator provides balanced support for HR functions and site operations. This role manages HR compliance, onboarding, and payroll support while handling procurement, vendor management, and departmental coordination. It offers exposure to HR processes and operational responsibilities in a dynamic environment. This role involves multitasking between HR, procurement, administrative duties, and supporting site-wide initiatives while ensuring a smooth and well-functioning site environment.

The ideal candidate will be detail-oriented, proactive, and have the ability to manage multiple priorities efficiently.

 

Key Responsibilities:

  1. HR Support & Compliance:
    1. Assist with payroll accuracy, maintain employee records, and ensure compliance with labor laws and company policies.
    2. Coordinate and support new hire onboarding and orientation programs.
    3. Support leaves of absence and benefits inquiries.
    4. Support HR audits and reporting requirements.
    5. Coordinate site events and training sessions.
    6. Provide administrative support for EHS compliance and departmental needs.
    7. Assist with coordinating and organizing programs, audits, and other related activities.

 

  1. Purchasing & Procurement: Handle purchasing and procurement for site departments.
    1. Purchase supplies for Production, Planning, Packaging, Warehouse, and Receiving departments.
    2. Enter purchase orders into Ariba and ensure timely follow-up and liaison with vendors and corporate buyers.
    3. Manage returns and credit memos, and respond to queries from Genpact.
    4. Oversee forklift lease payments, including vendor management for Wells Fargo & HYG, and ensure timely payment of related invoices.
    5. Assist with the reconciliation of purchases related to Cintas Uniforms, WEX Pcard, Concur, and Airgas Dry Ice.
    6. Support SAP/Ariba queries from site personnel and assist with purchases.
    7. Maintain records of purchase orders and receipts, ensuring proper documentation for audit purposes.

 

  1. Production & Site Coordination:
    1. Support the filing, maintaining, and retention of production process orders.
    2. Assist various departments, including Production, Quality, EHS, Product Development, Logistics, Supply Chain, and Maintenance, with site support needs.
    3. Respond to requests and provide backup support for PF (Process Formulation) sheet closure as needed.
  2. Event & Meeting Coordination: Organize site or department events.
    1. Order lunch and refreshments for on-site meetings, ensuring timely delivery and variety of options.
    2. Coordinate the logistics for site events, including team-building activities, training sessions, and other departmental events.
    3. Organize birthday celebrations and other special events for employees, including decorations and organizing group activities.
    4. Refill drinks in conference rooms, ensuring they are stocked with water, coffee, and other beverages.
    5. Order snacks, utensils, and other necessary items for site events and meetings.

 

  1. Office Supply Management & Miscellaneous: Maintain inventory and support general site needs.
    1. Oversee office supply management, ensuring appropriate stock levels and timely reordering.
    2. Act as the primary contact for email correspondences and handling of tax certificate completions.
    3. Perform other administrative duties as required to support day-to-day operations on-site.

 

Qualifications:

  • Bachelor's degree in Human Resources, Business Administration, or related field preferred.
  • 2+ years of HR support experience combined with strong administrative skills.
  • Proficiency in HRIS systems and Microsoft Office Suite.
  • Familiarity with procurement systems such as SAP or Ariba is desirable.
  • Excellent communication and organizational skills.
  • Experience managing vendor relationships and reconciliation processes.
  • Previous experience in a coordination or administrative support role, ideally in a manufacturing or industrial setting.
  • Strong organizational and time-management skills.
  • Ability to work independently as well as part of a team.
  • Attention to detail and strong communication skills.
  • Previous experience coordinating events and managing on-site meetings is a plus.
  • Requires collaboration across the site in HR, operations, and multiple departments.
  • Occasional exposure to production and warehouse environments, where safety procedures must be adhered to at all times.
  • HR certification optional.

Hourly wage: $38-$50.
