We are seeking an experienced Track Coordinator to support daily Track system activities, reporting, purchase order coordination, and budget-to-actual reporting. This role will serve as a key resource for Track users and timekeepers, ensuring reports are generated accurately, information is compiled and distributed, and system or PO issues are properly routed to the appropriate support teams.
The ideal candidate will be an experienced Track user with strong attention to detail and a working knowledge of Microsoft Excel, including pivot tables, charts, and graphs. The Excel reporting processes and templates are already established, so this position does not require advanced formula development or extensive spreadsheet creation.
Key Responsibilities
- Run standard reports within Track and compile data into established Excel reporting templates.
- Utilize Excel pivot tables, charts, and graphs to organize and present Track data.
- Maintain accurate and timely reporting to support project and operational needs.
- Assist timekeepers with Track-related questions and issues, serving as a first point of coordination and submitting help tickets to Mserv when necessary.
- Assist with Purchase Order (PO) issues by identifying the appropriate support needs and submitting help tickets to Procurement.
- Monitor outstanding Track and PO support requests and help ensure issues are appropriately routed and addressed.
- Update the Budget vs. Actual Excel report on a monthly basis.
- Distribute monthly Budget vs. Actual reporting to designated stakeholders.
- Maintain consistency and accuracy across recurring reports and spreadsheets.
- Work with timekeepers, project personnel, Mserv, Procurement, and other stakeholders to resolve administrative and reporting issues.
- Support other Track-related reporting and coordination activities as needed.
Required Qualifications
- Demonstrated experience as an experienced Track user with a strong understanding of the system and its reporting capabilities.
- Working knowledge of Microsoft Excel, including:
- Pivot tables
- Basic charts and graphs
- Sorting, filtering, and organizing data
- Updating established reporting templates
- Strong attention to detail and data accuracy.
- Ability to troubleshoot basic system issues and determine when escalation or a help ticket is required.
- Strong organizational and time-management skills.
- Ability to work independently while effectively coordinating with multiple departments.
- Strong written and verbal communication skills.
