Procurement & Administrative Coordinator

We are seeking a Procurement & Administrative Coordinator to support procurement operations and provide high-level administrative support within a fast-paced industrial environment. This role is ideal for someone who can balance transactional procurement responsibilities with executive-level coordination and stakeholder support.

Key Responsibilities

Procurement Support

  • Process purchase requisitions and generate accurate purchase orders
  • Track purchase orders, deliveries, and vendor performance
  • Resolve invoice discrepancies in coordination with Accounts Payable
  • Ensure compliance with procurement policies, contracts, and safety requirements
  • Track and manage procurement contracts through approval processes

Vendor & Stakeholder Coordination

  • Maintain vendor data and procurement documentation
  • Support vendor onboarding, qualification, and relationship management
  • Act as a point of contact for suppliers, internal stakeholders, and finance teams
  • Assist with basic commercial negotiations and supplier communications

Administrative Support

  • Provide high-level administrative support to procurement leadership
  • Coordinate calendars, meetings, reports, and documentation
  • Manage records, presentations, and internal communications
  • Prioritize and manage multiple tasks in a dynamic environment

Team & Operational Support

  • Provide backup support across procurement team functions
  • Assist with onboarding, training, and process documentation
  • Identify opportunities to improve workflows and efficiency

Qualifications

  • High School Diploma or equivalent required
  • 2+ years of procurement/purchasing experience OR
  • 5+ years of administrative or executive support experience
  • Experience supporting senior leadership preferred
  • SAP or similar procurement system experience strongly preferred
  • Strong proficiency in Microsoft Office (Excel, Outlook, Word, PowerPoint, SharePoint)
  • Excellent communication, organization, and multitasking skills
