Job Overview
The Project Operations Coordinator plays a vital role in ensuring the seamless execution of project-related sales orders and logistics. This position manages the entire sales order lifecycle, from entry and revision in the ERP system to shipment coordination and return material authorization (RMA) processing. The coordinator works closely with internal teams such as Sales, Planning, Engineering, Projects, Controls, and Warehouse, as well as external customers and logistics providers, to ensure timely delivery and customer satisfaction. This role requires strong organizational skills, attention to detail, and excellent communication abilities.
 
Key Responsibilities
 
  • Accurately enter sales orders into the ERP system and submit for approval.
  • Manage and process sales order revisions and updates as necessary.
  • Maintain accurate, up-to-date sales order data in the ERP system.
  • Oversee and track past-due shipments, proactively addressing potential delays.
  • Create shipping documents and manage the shipping process.
  • Notify customers of parts readiness for pickup or shipment.
  • Generate shipment reports to track progress and identify potential issues.
  • Coordinate crating requests with external vendors.
  • Verify weights and dimensions with the warehouse team to ensure accuracy in packing lists and commercial invoices.
  • Edit and finalize packing lists and commercial invoices.
  • Conduct End-User Certificate (EUC) checks for internal company orders to ensure compliance with export regulations.
  • Serve as the primary point of contact for customers and logistics providers, providing timely updates and resolving inquiries or issues.
  • Manage the RMA process, including receiving, processing, and tracking returned materials.
  • Perform other tasks as assigned by the manager or senior staff.
 
Education and Experience
  • A bachelor's degree in Business Administration, Supply Chain Management, Logistics, International Trade, or a related field is required. Alternatively, relevant work experience in a related field may be considered in lieu of a degree.
  • A high school diploma or equivalent is required.
  • 2-3 years of experience in logistics, operations, manufacturing, or a related field. Relevant internship experience may be considered in lieu of full-time work experience.

  • Organizational and Time-Management Skills: Ability to prioritize tasks, manage multiple projects, and meet deadlines.
  • Excellent Communication Skills: Both written and verbal, with the ability to effectively communicate with internal teams, customers, and vendors.
  • Attention to Detail: Ensuring data accuracy and preventing errors in order processing and documentation.
  • Proficiency in Excel: Strong skills in Excel for reporting and data analysis.
  • Problem-Solving and Analytical Skills: Ability to identify and resolve issues related to orders, shipments, and customer inquiries.
  • Customer Service: A strong focus on customer satisfaction and effective issue resolution.
