PTS Advance has a great opportunity for a Senior Office coordinator in the Seattle Washington area.
Job Summary
This is a position which provides administrative/clerical support to all staff members, reporting to the General Manager, but will provide support to other departments including Finance.
The successful candidate will be an independent self-starter that enjoys working in a fast-paced environment, strong commitment to deadlines and team, is process oriented with a high sense of ownership in their work and possesses a high degree of intellectual curiosity.
Duties & Responsibilities
- Assists Senior Financial Analyst in Seattle with journal entries, and miscellaneous accounting tasks i.e revenue journals
- Assists in monthly invoicing creation & distribution
- Provide as needed support with the Accounts Payable email box for Seattle, prepare checks for Accounts Payable, handle vendor AP inquiries, route invoices to the appropriate department for coding (IT, office supplies, benefits), purchase order coordinator &. back up the Accounts Payable team as required
- Responsible for booking meeting rooms, serving as a calendar administrator to the management team, responsible for company document control policy, and will draft letters and correspondence for leadership team memebers.
- Receives incoming telephone calls, answers routine inquiries
- Ad hoc projects as required
- Works with the employee benefits plan and life insurance providers in the event of an employee's death, retirement, or termination to ensure that the appropriate benefits are delivered. Also ensures that compliance with federal COBRA requirements are met
- Assists managers with internal job postings
- On-boards new employees and off-boards employees
- Ad hoc projects/duties as required
Skills & Qualifications
- Undergraduate degree in a relevant discipline, with at least 5 years of experience;
- Knowledge of Microsoft Office.
- Strong level written and verbal communication skills;
- Highly analytical with great attention to detail;
- Ability to interact with staff (at all levels), sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, with professionalism and confidentiality.
- Collaborative and interpersonal skills;
- Self-motivated and proactive, with respect to both managing workload and professional development;
- Ability to work in a dynamic, complex, fast-paced environment, to adapt quickly and to manage changing priorities;
- Experience working in a unionized considered an asset.
