Document Control Coordinator I
 Description:
 Must be proficient/knowledgeable with Outlook, Word, Excel and familiar with an Intranet structure and Database related programs.
 
 Quality Document Control Coordinator:
 Ensure documents are current (within their 5-year review period)
 Notify department Chemist(s) of upcoming due documents
 Update, revise, and route documents for approvals
 Update Master Documents List accordingly
 Upload documentation to Lab/Engineering intranet
 Perform self-audits of documentation
 
 Purchasing:
 SAP:
 Enter Requisitions for supplies, equipment/instrumentation, and services
 Upload Quotes when applicable
 Follow-up on orders, working with Mat Mgmt, Acct Pay, and requestor
 
 Coupa:
 Order office supplies through the Coupa program
 Receive office supplies through the Coupa program
 
 CONCUR (P-card charges):
 Make purchases using P-card if supplier is not set up in SAP and obtain receipts/invoices:
 Meals
 Travel
 Subscriptions
 Etc.
 Create a monthly Expense Report
 Reconcile charges
 Scan and upload receipts/invoices
 Forward for approval, print documentation, and file
 
 Timekeeping:
 Salaried: Enter weekly time: Working Time - Time Recording -Time Sheet
 
 Hourly workforce -KRONOS:
 Enter and print hourly time sheets (from schedule provided by Supv)
 Update Absence Report spreadsheet (f/h, vacation, sick-time balances)
 Update Sick-Time Report spreadsheet (maintain Call-Off Sheet)
 Verify payroll for hourly personnel and ensure proper coding
 Notify Supv/Supt of any discrepancies
 Re-verify changes and re-notify Supv/Supt to approve (Supv/Supt to notify HR)
 Reset employee's password when requested
 
 Chemical Hygiene Officer:
Responsible to update the Chemical Hygiene Plan (CHP) in accordance to 29 CFR 1910.1450 and work with Health and Safety Representative and Environmental Representative for accuracy of company policy.
 Responsible to maintain all Lab documents associated with the CHP ie:
 Safety Tour Checklist and Inspection Form
 Schedule Lab employees to perform the monthly tour for the year
 Responsible to train all Lab personnel and any other persons who perform testing in the Lab on the CHP
 
 Training:
 Maintain current status of training modules as notification is received from the Training Dept
 
 Records Retention
 Maintain supply of boxes and forms for lab personnel to utilize when sending outdated records to Iron Mountain.
 Follow Corporate Policy.
 
 Other Administrative duties:
 Mail desk:
 Ensure incoming mail folders/boxes are current
 Distribute incoming mail
 Organize lunches when needed (order, setup, cleanup etc.)
