seeking a proactive and detail-oriented Project Controls Maintenance Administrator to support our Maintenance and Reliability organization. This role provides essential project controls and administrative support across maintenance and turnaround activities, ensuring accuracy in cost tracking, invoicing, hiring, and equipment planning. The successful candidate will bring strong analytical and organizational skills to help drive reliable execution in a fast-paced, team-oriented industrial environment.

Key Responsibilities:
  • Provide administrative and project controls support to the Maintenance Director and Maintenance Department.
  • Review contractor timesheets, invoices, and purchase order requests to ensure accuracy, compliance, and adherence to contract terms.
  • Utilize the Track system to manage and monitor contractor labor, equipment, and materials.
  • Oversee sitewide and turnaround hiring plans and equipment plans to support resource alignment and reporting metrics.
  • Maintain an accurate third-party rental plan by coordinating with planners and vendors.
  • Collaborate with supervisors, engineers, contractors, and finance teams to streamline reporting, ensure data accuracy, and support effective project execution.
Minimum Qualifications:
  • High school diploma or GED required; Associate's degree in Accounting, Finance, Business Administration, or related discipline preferred.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
  • Strong communication, organizational, and problem-solving skills.
  • Ability to work independently as well as in a collaborative team environment.
Preferred Qualifications:
  • Experience with SAP, Oracle, or equivalent ERP system.
  • Prior exposure to project accounting, cost control, or contractor management.
  • Planning and scheduling experience (Primavera P6 or equivalent).
