TRACK Coordinator

Job Summary 

The TRACK Coordinator is central to the process to assure optimum function of the TRACK software and business process daily. 

 

Suggested Duties 

Oversee all activities of the Vendor management process per the standards established

Follow standardized nomenclature of skills/groups/types/items, etc. as determined by the business process 

Coordinate the activities of all Vendor Timekeepers to assure the system functions properly at all times and to maintain the integrity of the data 

Provide training and assistance to Supervisors/Approvers/Authorizers and Vendor Timekeepers and resolve questions and issues 

Manage labor, equipment and material rates (along with other charges such as per diem and meal allowance) within TRACK to guarantee most up-to-date contractual compliance 

Create/Assign/Unassign schedules and pay formulas per business (operations) requirements 

Manage and analyze activity for labor resources 

Ensure badge events flow in an IN/OUT order within TRACK  

Ensure each Vendor resource has a skill along with badge events, schedule and pay formula assigned within TRACK for proper calculations of net billable hours 

Manage override requests within TRACK 

Manage and analyze the daily business process and Timesheet Central within TRACK to confirm timesheet charges properly post in ERP system 

Manage user accounts/profiles and report filters within the TRACK Admin Security Application 

Audit Vendor TRACK compliance for reporting timeliness, due date compliance and error corrections. Ensure the Vendor Timekeepers are following the standards/expectations that have been established

Submit/maintain follow-up with Management Controls, Inc. support using CSSS, as needed, per standards  

Maintain document files, which are auditable 

Work with Maintenance Cost Analyst, Accounts Payable, Maintenance Supervision and all other departments to resolve TRACK issues relating to ERP system. 

Communicate and work with Plant Security to resolve badge issues affecting TRACK entries using ACS for verification as needed 

Train Vendor Timekeepers and management in proper TRACK usage for general maintenance and large projects 

Run reports weekly, at a minimum, regarding unallocated, unaccepted hours and unauthorized charges 

Will be required to work overtime and weekends during turnarounds and outages 

 

Suggested Job Qualifications 

  • 3-5 years' experience working with Vendor management systems (TRACK, CMS and other ERP systems preferred) 

  • Minimum of 3 years payroll and timekeeping experience and minimum of 3 years auditing and financial analysis experience preferred
