PTS is looking for an Admin Assistant / Coordinator to join our team for a project in Houston, Texas! This is a contract position expected to last 6-9 months with possibility for long term extension. Under the direct supervision of the Project Director/Manager this position provides administrative support and document management for assigned project teams. Job Title: Admin Assistant / Coordinator

Pay Range: $20-$30 per hour (Depending on Experience)
Contract Duration: 6-9 months (with possibility for long term extension)
Work Schedule: Monday- Friday (40 hours per week)
In office - not remote
Responsibilities:
- Assist project management and staff in problem solving, project planning, and development and execution of stated goals and objectives.
- Coordinate and perform a range of staff and/or operational support activities for the assigned project and serves as a liaison with other project admins and/or project teams in the resolution of day-to-day administrative and operational activities.
- Provide administrative support for the project such as answering telephones, assisting visitors, and resolving and/or referring a range of administrative problems and inquiries.
- Performs routine document control duties requiring knowledge procedures of applicable theories, practices and accepted procedure
- Conducts assessments for complex records and data projects to recommend solutions
- Ensures proper operating of documents and records tracking
- Provides one or more of a wide variety of support within the department and projects
- Will file, scan, make copies, data entry, assemble packages, books, re-name files quality check documents/drawings and assist the Department Manager and others as necessary
- Read and understand job related documents and procedures
- Schedule and organize complex activities such as meetings, events, conferences, appointments, and/or other similar activities for the Project Management Team, which may include coordinating travel and lodging arrangements. May do expense reports, specifically for the Project Director and Project Manager.
- Prepare or assist with the preparation of scheduled and/or ad hoc statistical and narrative reports; performs basic information gathering and analysis and/or forecasting, as specifically directed.
- Establish, maintain, and update project roster, distribution lists, files, databases, records, and/or other project related documents; perform routine analyses and calculations in the processing of data for recurring internal reports.
- Sort and distribute mail. Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information.
- Work independently and within a team on special nonrecurring and ongoing projects.
- Prepare and coordinate multiple presentations, disseminating information, and coordinating direct mailings.
- Type and design general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
- May format large technical documents
- Record of Minutes of Meeting as needed
Qualifications:
- (10) years of experience as Administrative/Project Support with increasing responsibility & similar job responsibilities is required
- Education: High School Diploma or equivalent is required
- Familiarity with engineering, and offshore oil and gas technical terminology is a plus
- Document Control experience preferred
- Familiarity with SharePoint preferred but not required
- Well-developed communication skills in English
- Organized and disciplined
- Advanced knowledge and skills in Microsoft Office, specifically: (Microsoft Word, Excel, PowerPoint, Outlook)
